How do I fill out the response form?

In this article, you'll find answers to the most frequently asked questions on the response form in Fluenta Sourcing events.

  1. I can't fill out the response form, the fields can't be edited.

If you can't edit any of the fields in the form, make sure you have clicked Edit response.
In case of a new round in the same event, the fields from the old round(s) can't be edited. When creating a new round, the organizer must add new fields to the response form. If there are no editable fields in the 2nd, 3rd etc. round of an event, the organizer hasn't added new fields to the form.
In case of a reopened round, only the fields selected by the organizer can be edited. If a field in the response form is not editable, the organizer hasn't selected that field for modification in the reopened round.

  2. How can I attach files in the response form?

If you are in the editor view of the event, a Select file or Browse button will appear at the fields where you can attach a file. This button will open your computer's file manager, where you can select the file you with to upload.

  3. How can I attach multiple files to one field?

Only one file can be attached to one file request field. If you wish to attach multiple files, we suggest compressing them into a "zip" folder.

  4. How can I replace the attached file in the response form?

Delete the already uploaded file, and attach a new one via the Select file or Browse button.

  5. What is the maximum size of files I can attach?

Depending on upload speed, each field accepts a single file no larger than 100MB. If the upload speed is lower, the system handles smaller file sizes better. If you wish to attach multiple files to one field, we suggest compressing them to a "zip" folder.

  6. I can't open the compressed "zip" file I've downloaded from the sourcing event.

To download attachments, you must allow popups in your browser.
If you've successfully downloaded the file but can't open the compressed (zipped) folder, you need to unzip it. You can unzip files in your computer's file manager, or with a dedicated program of your choice (such as 7z or PeaZIP).

  7. What limitations are there in the text fields of the response form (number of characters, rows)?

Each input field may contain up to 250 characters, which can be organized into any number of rows.
The data you can input may be limited to numbers; in this case, the field will only allow numeric characters.

  8. I can't enter the phone number, tax number, corporate registry number in the response form.

The format of the data field is probably limited to numbers. In this case, the data you input can't contain letters or special characters (e.g. hyphens) and can't begin with a 0 (zero).

  9. Why is it mandatory to attach a file if I've selected "no" in the response form?

The two fields of the response form may not have been connected to each other. If you believe the file upload field does not apply to you, we suggest attaching an empty file. We also recommend you notify the organizer.

  10. There is a mandatory field in the response form that doesn't apply to me; how can I submit my offer?

You can't submit your offer without filling out the mandatory fields. We suggest entering "Does not apply", or attaching a file that's empty or contains the same text to the mandatory fields irrelevant to your company. We also recommend you notify the organizer.

  11. I can't submit my offer.

The most common issue is that at least one mandatory field hasn't been filled out. The system notifies you of this via a popup message.
If all mandatory fields have been filled out (even the ones that don't seem to apply to you), then it might help to try closing Fluenta and open it in a different browser.
Please make sure that Fluenta Sourcing isn't open on two (or more) tabs in one browser; in this case, we can't ensure your response is saved correctly.

  12. I can't edit my offer even though the submission deadline hasn't passed yet.

If you've finalized your response, you can't modify your offer.

  13. How can I edit the offer after submitting and finalizing it?

If you've finalized your response, you can't modify your offer.
If you've made an error in your offer, it might be corrected if the round is reopened. If you would like to request the reopening of the round, please contact the event's organizer.

  14. Why can't I download the fact sheet?

It is possible that the organizer hasn't provided this option. If it's available, the fact sheet can only be accessed after the submission deadline, after the event has been closed.

  15. I can't edit a field in the reopened round of a sourcing event.

In case of a reopened round, only the fields selected by the organizer can be edited. If a field in the response form is not editable, the organizer hasn't selected that field for modification in the reopened round.

  16. How can I edit my offer after the sourcing event has closed?

If the event has been closed, offers can't be edited anymore.
If you made a mistake in your response, the round can be reopened to allow you to correct it. If you would like to request reopening the round, please contact the event's organizer.

  17. The submission deadline has passed, how can I still submit an offer?

If the event has been closed, no offers can be submitted.
If you couldn't submit an offer, you might be able to participate in the event if a new round is created. If you would like to request a new round, please contact the event's organizer.

  18. I have a question about the content of the sourcing event.

If you need information on the content of the event, please contact the event's organizer.
